Delete your data

Last updated

This page explains how to ask Trainerhood to delete information about you. It covers people who have messaged or commented on a gym's Facebook, Instagram or LinkedIn account or reviewed it on Google, gym owners and staff who connected Facebook, Instagram, LinkedIn or Google, gym members with an app account, and people who enquired with a gym.

Trainerhood is software that gyms use to run their business. It is operated by RIPPD FIT PTY LTD (ABN 36 690 842 043), trading as Trainerhood. Our full Privacy Policy explains what we collect and why.

The short version

  • Email privacy@trainerhood.com with the subject "Delete my data".
  • Tell us which gym it relates to, and how we can find you: your email address, mobile number, or your Facebook, Instagram, LinkedIn or Google name.
  • We confirm it is you, delete your information within 30 days, and email you when it is done.
  • It is free, and you do not need to give a reason.

1. You messaged or commented on a gym's Facebook or Instagram

You may never have been a customer of the gym. That is fine: you can still ask.

What we hold. If the gym connected its Facebook Page or Instagram account to Trainerhood, we hold, for that gym: your name or username and profile picture as Meta shared them, Meta's id for you, the messages, comments or story mentions you sent, any photos or videos you attached, the times, and the gym's replies to you.

How to ask. Email privacy@trainerhood.com with:

  1. the gym's name, or the Facebook Page or Instagram account you contacted;
  2. your Facebook name or Instagram username;
  3. roughly when you messaged or commented.

How we confirm it is you. We ask you to send a short code we give you, as a message from the same Facebook or Instagram account, to the gym's Page or account. That shows the request really comes from you.

What we delete. Everything listed above that Trainerhood holds about you for that gym, including any AI drafts written in reply to you.

What we cannot delete. Your messages and comments on Facebook and Instagram themselves are held by Meta. To delete a comment, delete it on Facebook or Instagram; to delete a conversation, use the options in Messenger or Instagram. The gym may also keep its own records outside Trainerhood; ask the gym directly about those.

LinkedIn comments and Google reviews. If you commented on a gym's LinkedIn Page or reviewed a gym on Google, the same steps apply: email us with the gym's name and your LinkedIn or Google name. LinkedIn data is deleted straight away when you ask. We keep a Google reviewer's name, photo and review text for no more than 30 days, even if nobody asks.

2. You connected Facebook, Instagram, LinkedIn or Google to Trainerhood

This applies to gym owners and staff who connected one of these accounts.

Step 1. Disconnect in Trainerhood. Sign in to the Trainerhood portal, open Social, then Set up and Pages and accounts, find the connected account and choose Disconnect. Trainerhood stops receiving data from that account straight away.

Step 2. Remove Trainerhood's access on the platform too.

  • Facebook: Settings and privacy, Settings, then Business integrations (or Apps and websites), select Trainerhood and choose Remove.
  • Instagram: Trainerhood connects Instagram professional accounts through Facebook Login, so remove Trainerhood from the linked Facebook account as above. If Trainerhood also appears in Instagram under Settings, Website permissions, Apps and websites, remove it there too.
  • LinkedIn: Settings and privacy, Data privacy, then Permitted services, and remove Trainerhood.
  • Google (including Google Business Profile and YouTube): go to myaccount.google.com/permissions, select Trainerhood and choose Remove access.

Step 3. Ask us to delete what we stored. Email privacy@trainerhood.com from the email address on your Trainerhood account, and tell us which connected accounts to delete. We delete the stored messages, comments, reviews and posts received through that connection within 30 days, LinkedIn data straight away, and YouTube data within 7 days.

Asking us to delete what Trainerhood stored for a gym's account deletes the conversations and reviews stored for it, which may include other people's messages. If you are a staff member rather than the owner, the gym owner decides this.

3. You have a member account in a gym's app

Your account is set up and managed by your gym, so deleting it is something we do together rather than a button in the app.

How to ask. Ask your coach, or email privacy@trainerhood.com from the email address on your account. You can ask us to delete your whole account, or only specific information such as one photo, message or health reading.

What we delete. Your profile details, messages, photos, logged workouts and health readings are removed from our active systems within 30 days. Your sign-in is removed, so you are signed out on every device.

What may be kept. Payment and session credit records, and records your gym wrote or collected about you, such as nutrition plans, trainer notes, AI reports, uploaded documents, forms, consent records and the gym's client record, which remain the gym's responsibility.

Health app data. To stop the app reading Apple Health or Health Connect, remove its permission in your phone's settings. Readings already sent to your gym are deleted as part of your request.

4. You enquired with a gym, or a gym called or texted you

How to ask. Ask the gym, or email privacy@trainerhood.com with the gym's name and the email address or mobile number you gave.

How we confirm it is you. We send a code to that email address or mobile number and ask you to reply with it.

What we delete. Your enquiry, contact details, notes, the messages and texts between you and the gym, call records, voicemails and call recordings and transcripts, and any answers from lead forms.

What may be kept. A minimal record that you asked not to be contacted (the channel and the date), so the gym does not contact you again by mistake.

Where did we get your details? If you do not know how a gym got your details, ask us in the same email and we will tell you.

5. Just want the messages to stop?

You do not need to delete your data to stop being contacted.

  • Texts: reply STOP.
  • Emails: use the unsubscribe link at the bottom of the email. You do not need to sign in.
  • Calls: tell the caller you do not want to be called again.
  • Social media: tell the gym in your conversation that you do not want further messages.

Texts stop straight away when you reply STOP, and emails stop straight away when you unsubscribe; the gym's staff act on requests made on a call or in a social media conversation.

6. What happens after you ask

  1. We reply within 5 business days to confirm we have your request, give you a reference number, and ask for anything we need to confirm it is you.
  2. If your information is held for a gym, we let the gym know we are acting on your request.
  3. We delete your information from our active systems within 30 days of your request.
  4. We email you to confirm it is done. Until then, you can ask about the status of your request at any time by replying to our email or quoting your reference number.
  5. Copies in our encrypted backups are never restored, and are removed automatically as those backups expire on their rolling schedule.

We also ask our service providers that hold a copy, such as Twilio for call recordings, to delete it.

7. If we cannot delete something

Sometimes the law requires us, or the gym, to keep a record, for example a payment record. If so, we tell you what we kept, why, and for how long, and we delete it when that period ends. We will not use it for anything else.

8. Need help or not happy with the answer?

  • Email privacy@trainerhood.com. A person reads every request.
  • If you are not satisfied with how we handled your request, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
